Important Information

GENERAL CONDITIONS & RULES FOR THIS ESTABLISHMENT
• Fees are payable in advance or if otherwise instructed by the payee of the account.
• Smoking in rooms is strictly forbidden – R500 Recovery Fee will be charged to guests that do not comply. You are however welcome to smoke in the garden at the benches.
• Only residing guests are allowed to sleep over
• Unbooked guests may be asked to leave at the owner's discretion. A penalty of 100% of the overnight fee will be charged if this is ignored.
• Guests must refrain from having visitors between 21h00 and 08h00.
• No more than 1 visitor at a time.
• Guests must behave in a manner conducive to the safety, peace and comfort of other guests & neighbors. Making loud noise is not acceptable. The manager reserves the right to evict anyone misbehaving with immediate effect by our Security Company. Care should be taken and the following behavior will not be tolerated on the establishment premises: Disturbing musical instruments, loud music from radios (car or handheld devices), specifically loud music in our parking areas are not permitted. Guests are respectfully requested to not walk around the establishment with open beer bottles.
• 24-hour security is enforced via CCTV cameras and security guards patrolling our premises at all times along with our Security Company.
• Guests are also requested to wear proper attire when moving around on the premises, especially on making use of the bar & restaurant. No guests will be allowed to walk around in their towels or sleepwear & slippers.
• Heaters, fans, air conditioning, televisions, and lights should be switched off if the room is not occupied.
• Please remember to hand in keys on departure. Failure to do so will result in a replacement cost penalty for the guest’s account. The same rule applies to lost keys, -emotes and damage to locks.
• Please note that cleaning and gardening staff will not accept instructions from guests. Please contact the person on duty for assistance..
• Parking for vehicles is supplied and is strictly for guests of the establishment.
• Please make sure that gates are closed after entering or leaving the premises.
• Guests do not have access to rooms and areas marked as “PRIVATE”
• Our facilities are for paying guests only unless prior arrangements have been made with management.
• The owner/management is not liable for any damages, theft, or injury.




CHECK-IN
• Normal check-in time starts at 14h00, but every effort will be made to accommodate earlier or later check-ins (if arranged in advance). It is however allowed to drop off luggage before check-in if desired.
• Check-in of guests will strictly be handled at our main office only - Matlabas Enterprises Head Office & Reception, c/o Fox Odendaal and Muller street, Lephalale, 0555
• Palm Inn Guesthouse & Fire & Ice Guesthouse in Onverwacht: Check-in can be arranged at the premises on request with your bookings manager
CHECK-OUT
• Check out time is STRICTLY at 10h00 or before 10h00. Please tell us in advance if you require a later check out and we will do our utmost to accommodate your request at an additional fee.
ROOM KEYS ON ARRIVAL
• During normal working hours the keys will be handed over to the guest after payment and administration. Special arrangements for key collection must be made for late arrivals
ROOM KEYS DURING LONG STAY
• Long-term stay-over guests must lock their rooms on their way out and keep their set of keys during the duration of their stay.
BREAKFAST
• Breakfast is served between 06h00 to 10h00 at Maroela Restaurant & Bar, 17 Fox Odendaal str, Lephalale (Eco Lodge). Breakfast on the go packs will be delivered to the guests' room by request.
LUNCH
• Lunch is served at Maroela Restaurant & Bar from 12h00 to 14h00, lunch packs on the go can be delivered or will be handed out along with breakfast on-the-go packs.



DINNER
• Dinner is served at Maroela Restaurant & Bar from 18h00, meals can also be delivered via room service. Please request our menu from your booking manager.
REFUNDS
• There will be no refunds for early departures. Security deposits will only be returned once the guest is at the point of departure and the guest room has been checked and no damages have been found.
VALUABLES, SECURITY & STORAGE
• The management is not responsible for lost items. Please lock valuables in the safe of your room and lock the doors when you leave.
• Although the guesthouse management takes responsible steps to ensure the safety and security of all guests and their possessions, guests retain final responsibility for their safety and security.
PARKING AREA
• Parking is available free of charge for all house guests. Every room has a designated parking area, and this must be adhered to at all times.
• Access to the premises is controlled by management and the right of admission is reserved.
• Do not leave any valuables in your car while it is parked, and lock your vehicle at all times, management does not accept responsibility for the loss or theft of any such articles while your car is parked.
TOILETS
• No cigarette buds, cotton buds, sanitary wear, or any other material, other than toilet paper may be flushed down the toilet. Charges will occur for any blockage.
• Please be mindful of others. If you make a mess, please clean it up
KITCHEN RULES FOR SELF-CATERING UNITS
• Please make sure that you do not empty oil into the drain
• Please do not put hot pot/pan on surfaces
• If you leave any uneaten food and beverages in the fridge and or give to a cleaner upon departure, please make sure that you fill in a form at reception or with the cleaner to indicate that you have donated this food or beverage

SWIMMING POOL
• The pool is at your disposal from 08h00 to 20h00 (pertains to premises with accessible pools). Access at any other times must be discussed and arranged with management first
• Guests may use the pool at their own risk. Please note that there is no lifeguard on duty
• No children are allowed near the pool without adult supervision
• No urinating in the pools
• If you are part of a group stay, try to maintain occupancy time & rate at acceptable levels as the other guests may also want to enjoy the pool
• Keep noise levels at the pool area low as there are guest rooms situated right next to the swimming pool area
• No Glasses, Glass Bottles are allowed close to the pool
BARBEQUE
• Designated areas have been allocated for barbeque, please ask our friendly management team to direct you to these areas
• Wood is available at reception at an additional cost
• Certain areas of the premises are not accessible without prior arrangement
LAUNDRY
• Only on request (Pricelist available at Reception)
YOUR LIABILITIES
• We will hold you responsible for any damage or loss caused to our property by your acts or omissions, default, accident, or neglect. By booking with us you agree to indemnify us and pay to us on demand an amount reasonably required to make good or to rectify such damage or loss caused by you. Normal wear and tear excluded.
• Please report any accidents or incidents to the guest house management in connection with any property damage




GENERAL INCAPACITY
• The guesthouse cannot be held liable if any of the following events or conditions prevents the guesthouse from fulfilling its obligation to guests. However, the guesthouse will take necessary steps to minimize disruption and discomfort to guests under these conditions:
Unanticipated interruption to electricity, water, sewage to and from the guesthouse
Industrial actions, civil uprising or criminal activity
Fire, frost, flooding, wind or any force majeur event
Because we have several guests, situated on several premises in different locations in Lephalale town we ask you to respect each other concerning cleanliness of the common areas and noise level. If we receive complaints, you will be given a warning and or our Security Company will ask you to leave our premises. Further more, several complaints are subject to the termination of stay. We reserve the right to end a reservation if a guest becomes a disturbance/nuisance to others including management.
Please respect our establishments and its occupants.
